The protection of your personal data is of great importance to the IPN. The processing of personal data, such as the name, address, e-mail address or telephone number of the person concerned, is always carried out in accordance with the Basic Data Protection Regulation and in accordance with the country-specific data protection regulations applicable to the IPN. With this data protection declaration we would like to inform you about the type, scope and purpose of the personal data we collect, use and process and about your rights.

Scope of Processing and Utilization of Personal Data:

When the user enters personal or business data (email addresses, name, and addresses), the input of this data is explicitly voluntary. If you submit specific inquiries or information to us via our pages, we use the data you enter in the relevant form or e-mail with your consent and sent us for processing. The data will only be used to process the enquiry etc. Under no circumstances will the data collected be sold or passed on to third parties for reasons not permitted by data protection law. Other personal data will only be processed when using this website to the extent that this is absolutely necessary for technical or compelling reasons.

Data collection on our website:

Cookies
The cookies used on our website are so-called "session cookies". They are automatically deleted at the end of your visit. These cookies are only required to enable our online editors to process page content. As a non-editor of our pages, you can set your browser to not accept cookies without restricting the functionality of this website.

Server log files
When you access our websites, your browser sends us the following data, which is automatically stored in the server's log files:
 - browser type and browser version
 - operating system used
 - IP address of the accessing computer
 - time of server inquiry
 - if applicable, the URL of the previously visited website (referrer URL)
This data is not combined with other data sources. Temporary storage of the IP address by the web server is necessary to enable delivery of the web pages to the user's computer and to ensure the functionality of the website. The legal basis for the temporary storage of data and log files is Art. 6 para. 1 lit. b DSGVO.

Contact form and registration forms for events, subscription to the IPN Journal
If you send us enquiries or data using the contact form or the registration form, these will be stored with the contact data you have provided there for processing and in the event of follow-up questions. We will not pass on this data without your consent.
The processing of the data entered in the contact form or registration form is therefore exclusively based on your consent (Art. 6 para. 1 lit. a DSGVO). You can revoke this consent at any time by sending us an e-mail. The legality of the data processing carried out up to the revocation remains unaffected by the revocation.
The data you enter in the form will be saved until you request us to delete it, revoke your consent to its storage or the purpose of data storage ceases to apply (e.g. after your request has been processed). Mandatory statutory provisions - especially retention periods - remain unaffected.

When you subscribe to the IPN Journal, we store your contact details. We will not pass this data on to others without your consent.

Applications

Regarding job applications, data collection allows us a lawful review of your application as part of the application procedure. For this purpose we store all your submitted application data. The personal data collected in connection with your application will be stored for a period of at least six months. If the application is not successful or is withdrawn, the data provided as part of the application process will be destroyed after six months from the date of the rejection letter. The storage of data for this period is required for legal reasons (e.g., the assertion of claims under the General Act on Equal Treatment If you are hired, you will be informed of the regulations applicable to the handling of your personnel data, in particular with regard to the creation of personnel files.

Privacy information for users of the Kiel University Cloud as part of the IPN

We use the Kiel University Cloud "Nextcloud" online file storage service hosted by Kiel University itself. All data is located in Germany and subject to German and European data protection law. The service enables collaborate with other users. Therefore, the personal data (first name, surname and e-mail address) of the users are also visible to all other users of the service and, as part of system maintenance, to some IT employees of Kiel University. The users include all employees, selected small groups from committees and working groups as well as invited guests.

Our social media presence

Data processing through social networks

We maintain publicly accessible profiles on various social networks. Social networks such as Twitter/X etc. can generally analyze your user behavior comprehensively when you visit their website or a website with integrated social media content (e.g. like buttons or advertising banners). Visiting our social media presences triggers numerous data protection-relevant processing operations.

In detail: If you are logged into your social media account and visit our social media presence, the operator of the social media portal can assign this visit to your user account. However, your personal data may also be collected if you are not logged in or do not have an account with the respective social media portal. In this case, this data is collected, for example, via cookies stored on your device or by recording your IP address.

The data collected in this way enables the operators of the social media portals to create user profiles in which your preferences and interests are stored. Thereby, interest-based advertising can be displayed to you inside and outside the respective social media presence. If you have an account with the respective social network, the interest-based advertising can be displayed on all devices on which you are logged on or have been logged on.

Please also note that we cannot track all processing operations on the social media portals. Depending on the provider, further processing operations may therefore be carried out by the operators of the social media portals. For details, please refer to the terms of use and data protection provisions of the respective social media portals.

We have no influence on the processing of your data by the provider of the social media platform.

Legal basis

Our social media presence is intended to ensure the widest possible presence on the internet. This is a legitimate interest within the meaning of Art. 6 para. 1 lit. f GDPR. The analysis processes initiated by the social networks may be based on different legal bases, which must be specified by the operators of the social networks (e.g. consent within the meaning of Art. 6 para. 1 lit. a GDPR).

Data controller and enforcement of rights

When you visit one of our social media sites, we are jointly responsible with the operator of the social media platform for the data processing operations triggered during this visit. You can assert your rights (information, rectification, erasure, restriction of processing, data portability and complaint) both against us and against the operator of the respective social media portal. Please note that despite the joint responsibility with the social media portal operators, we have little influence on the data processing procedures of the social media portals. Our options are largely determined by the corporate policy of the respective provider.

Storage period

The data collected directly by us via the social media presence will be deleted from our systems as soon as the reason for storing it no longer applies, you ask us to delete it, or you revoke your consent to storage. Stored cookies remain on your end device until you delete them. Mandatory statutory provisions - in particular retention periods - remain unaffected. We have no influence on the storage period of your data that is stored by the operators of social networks for their own purposes.
